Privacy Policy

This Privacy Policy explains how Main Event Studio LLC (“MEvid,” “we,” “us,” or “our”) collects, uses, discloses, and protects information when you use MEvid.co, maineventvideo.com, and any related MEvid websites, applications, features, and services (collectively, the “Service”).

When an organizer enters a contributor’s or recipient’s mobile number, we send an event-specific text on the organizer’s behalf — an invitation with a link to submit content, a re-invitation, or a notice that a finished video is ready. Organizers with an account may also add their own mobile number to receive account notices they request, and may receive a text inviting them to co-organize another organizer’s project. Organizers confirm at the time of entry that they personally know the person and have permission to have them contacted about the event.

We do not sell, rent, trade, or share your mobile phone number or SMS opt-in information with any third parties or affiliates for their own marketing or promotional purposes.Mobile information is used only to deliver the messages described above. We do not send marketing text messages.

4. Marketing communications

Any marketing we send is about MEvid only — we never sell or share your information so that anyone else can market to you. Organizers with an account may receive occasional product news and offers by email. Contributors may receive marketing by email only: when you provide an email address while contributing, you are shown a clearly labeled choice about receiving occasional MEvid news. For visitors in the United States that choice may be pre-selected; outside the United States it is off unless you turn it on. You can decline it at that moment, and every marketing email includes an unsubscribe link that stops all marketing immediately.

Phone numbers are used for service or event-related notifications — such as invitations or notice that a finished video is ready — and never for marketing texts unless we separately obtain any consent required by law.

5. AI-assisted features and transcription

Certain MEvid features use artificial intelligence or other automated tools to create, modify, animate, enhance, or process images, video, audio, or other content — for example, creating an avatar look from a contributor’s photo or generating a card background. We may also automatically create a text transcript of spoken clips so that captions and related features can be offered; transcripts are stored with the project.

Some AI-assisted processing happens directly on your device (for example, face tracking used to position an avatar in your clip), and that data does not leave your device. Where a feature requires a third-party AI provider, we send only the content needed for that feature (for example, a still image of a face to create an avatar look, or a clip’s audio to create captions), and we instruct those providers to use it only to provide the service to us. We do not authorize them to use your content for their own marketing. AI-generated or AI-assisted results may vary. A current list of our AI and processing providers is available on request.

6. Face images and biometric information

When you choose to create an AI avatar, MEvid processes a photo of your face — a frame from your clip, a photo you upload, or a selfie you take — to generate a stylized image that resembles you. Depending on where you live, this may be considered biometric information. We do this only when you ask us to, only for that purpose, and only after you confirm the on-screen consent.

We do not keep a copy of your face photo once the avatar has been created. The avatar itself is stored with the event project and is deleted when the project’s content is deleted (see Data Retention) — and in every case no later than three years after your last interaction with the Service, or sooner once the purpose is satisfied. We do not sell, lease, or trade face images or biometric information, we do not use them to identify you across projects or services, and we share them only with the service providers that help create the avatar (an image-description step and the image generator), under instructions to use them solely for that purpose. Face tracking used to position your avatar in your own clip happens entirely on your device and is never sent to us.

Contributors under the age of majority need a parent or guardian to give this consent. You can decline — your clip works without an avatar — or ask us to delete your face image at any time at privacy@maineventstudio.com.

7. Cookies, analytics, and similar technologies

We use a small number of first-party cookies and browser storage to keep you signed in, remember where you left off (for example, a QR invitation you already started), and count page views and promo-video plays, including which campaign link brought you to the site. We do not currently use third-party advertising pixels or cross-site tracking. Our hosting provider (Vercel) and payment provider (Square) may set cookies needed to deliver their services. If we add analytics or advertising tools in the future, we will update this section. Our Service does not currently respond to browser “Do Not Track” signals.

8. How we share information

People involved in your event. Content you submit for an event is shown to the event’s organizer and any co-organizers they add, who can view, arrange, and edit clips for the project. The finished video is delivered to the organizer and to recipients the organizer chooses, and the organizer may share a viewing link with others. Contributors do not automatically receive the finished video. Approved reviews are shown publicly with the first name and occasion you provide.

Service providers. We disclose information to providers that help us operate the Service — hosting and cloud storage, video processing and rendering, AI-assisted processing, transcription, email and SMS delivery, customer support, security, and payment processing. They receive information only as reasonably necessary for the services they provide to us and subject to contractual and legal requirements.

Legal. We may disclose information if required by law, legal process, or government request, or where reasonably necessary to protect the rights, safety, security, and integrity of MEvid, our users, or others. We do not sell personal information, and we never share mobile opt-in data for third-party marketing.

9. Data retention

We keep uploaded clips, photos, transcripts, AI-generated results, and finished videos for the hosting period of the project’s plan (shown at purchase and in our Terms of Service) and delete them from our active systems within a reasonable time after that period ends. Organizer account information is kept while the account is active. If a project or account is deleted, we schedule the associated content and personal information for deletion, subject to backups that expire on a rolling basis and to information we must keep for legal, accounting, security, or dispute-resolution reasons.

11. Children’s privacy

The Service is intended for a general audience and is not directed to children under 13. Children may appear in videos, photographs, audio, or other content submitted by parents, guardians, organizers, or other authorized persons. We do not knowingly collect personal information directly from children under 13 through the Service. If we learn that a child under 13 has directly submitted personal information to us without appropriate parental consent, we will take reasonable steps to delete it. A parent or guardian who believes that personal information has been collected directly from a child under 13 may contact us using the information below.

12. Security

We use reasonable administrative, technical, and organizational measures designed to protect personal information. No method of transmission or storage is completely secure, however, and we cannot guarantee absolute security.

13. Changes to this Policy

We may update this Privacy Policy from time to time. We will update the “Last updated” date when changes are made and may provide additional notice where appropriate for material changes.
